Parking: Hotel valet parking provides guests with in/out privileges. There is no self-service parking available on the property. Guests may elect to self-park at off-property locations, such as 31 Baker St. (31 Baker Street NE). This covered garage is one block from the hotel and is available at a discounted rate for Hyatt guests. Charges are $20 for 24 hours with no in/out privileges, valid Friday - Sunday.

Join us on Tuesday, 26 June and Thursday, 28 June to start your day off with a 2-3 mile jog. Meet in the hotel lobby at 0600 hrs. All levels and speeds are welcome.

Author and Session Chair Information

Speakers’ Briefing in Session Rooms

Authors who are presenting papers will meet with session chairs and co-chairs in their session rooms for a short 30-minute briefing on the day of their sessions to exchange bios and review final details prior to the session. Please attend on the day of your session(s). Laptops preloaded with the Speakers’ Briefing preparation slides will be provided in each session room. Speakers’ Briefings will be held, Monday, 25 June–Friday, 29 June: 0730 hrs.

Speakers’ Practice Room

Speakers who wish to practice their presentations may do so in the designated room (room name to be announced). A sign-up sheet will be posted on the door. In consideration of others, please limit practice time to 30-minute increments.

Session Chair Reports

All session chairs are asked to complete a session chair report to evaluate their session for future planning. AIAA has partnered with Canvas Solutions to provide an electronic Session Chair Report form. You can download the FREE mobile app in your App Store, AppWorld, or Marketplace by searching for “Canvas Solutions, Inc.” The mobile app is free, so please be sure to download it. Detailed instructions will be provided in the session rooms. If you do not have a tablet or a smartphone, simply use the report form as a guide and enter your session chair report information at the session chair reporting computer station located on site near the AIAA registration area. Report data will be collected and used for future planning purposes, including session topics and room allocations. Please submit your session chair report electronically by Friday, 29 June 2018.


Each session room will be preset with the following: one LCD projector, one screen, one microphone and sound system (if necessitated by room size), and one laser pointer. Laptop computers will also be provided. You may also use your own computer. Any additional audiovisual equipment requested onsite will be at cost to the presenter. Please note that AIAA does not provide security in the session rooms and recommends that items of value not be left unattended. Requests for additional audiovisual equipment may be made to Alexi Thomas by 15 May.

“No Paper, No Podium” and “No Podium, No Paper” Policy

If a written paper is not submitted by the final manuscript deadline, authors will not be permitted to present the paper at the forum. Also, if the paper is not presented at the forum, it will be withdrawn from the proceedings. It is the responsibility of those authors whose papers or presentations are accepted to ensure that a representative attends the conference to present the paper. These policies are intended to improve the quality of the program for attendees.

STEM Supplies Collection

Each school year,  Hands On Atlanta’s Discovery program works with Title I public schools and volunteers to bring structured enrichment activities to nearly 800 students per month throughout the school year. They partner with  Kids Interested in Technology, Engineering and Science (KITES), Inc. so students can participate in activities teaching concepts ranging from computer science to molecular biology to renewable energy. At the 2018 AIAA AVIATION Forum, we will collect household items to support their STEM experiments. Please consider bringing the following items to donate: Cups, bowls, shaving cream, tonic water, contact solution, baking soda, straws, pipe cleaners, playdoh, yarn, popsicle sticks, STEM related reading books, freezer bags, brown paper bags, food coloring, tape, and aluminum foil.
